4 Free AIs Every Small Biz Needs — Setup Guide

Here are the setup notes for all four tools. Pick the one that fits your business first.

honest disclaimer: all 4 are free as of right now (june 2026). meta business agent has paid tiers landing soon, so set that one up first. the other 3 stay free forever (or at least on a free tier that's actually usable).

pick whichever tool fits ur biz first. don't try to set up all 4 in one sitting. one a week is plenty.


1. Meta Business Agent

what it does: answers DMs across Instagram, WhatsApp Business and Messenger. books appointments, qualifies leads, even closes sales. think of it as a free customer service person that never sleeps.

setup (10 min):

  1. go to business.facebook.com and sign in with the account that manages ur biz page.
  2. in the left menu, find AI Studio (sometimes labelled "Business Assistant" depending on ur region).
  3. click Set up Business Agent and connect ur Instagram, WhatsApp Business, or Messenger inbox. u can do one or all three.
  4. fill in the basics: opening hours, top 5 products/services, return policy, FAQ. the more u feed it, the smarter it gets.
  5. pick a tone: friendly, professional, or playful. friendly works for most small biz.
  6. test it. open a DM to ur own page from another account and ask "do u have stock for [product]?" see how it answers.
  7. when happy, flip auto-reply ON. u can still jump in manually anytime.

first prompt to feed it: upload ur top 10 FAQ + ur return/exchange policy as a text doc. that single step handles 80% of incoming DMs.

⚠️ catch: paid tiers are coming "in the coming months". the basic free tier stays free. lock urs in now so ur grandfathered into the free version.


2. Gemini × Google Business Profile

what it does: turns ur Google Business Profile into a personal analyst. ask "how did my biz do this month" and it pulls ur calls, directions, search impressions and engagement.

setup (5 min):

  1. open gemini.google.com (or the Gemini mobile app) and sign in with the Google account that owns ur business profile.
  2. tap ur profile icon → Connections (or Apps in some versions).
  3. find Google Business Profile → tap Connect.
  4. approve the permissions screen.
  5. start asking. try these:
    • "how did my business do this month vs last month"
    • "draft a friendly reply to my latest 3-star review"
    • "what should i post on my business profile this week"
    • "are there any gaps in my profile i should fix?"

first prompt to try: "give me a 1-page report on my business performance this month, then suggest 3 things i should do next week."

ℹ️ heads up: Malaysia + most of SEA is good to go (EEA + UK excluded). At launch the Business Profile feature is web-only + works for 1 business profile at a time, so multi-location chains will have to wait. Solopreneurs and single-shop owners win first.


3. TikTok Shop AI Fashion Video Maker

what it does: auto-generates product showcase videos. no filming, no editing, no models. u upload a product image, it makes a shoppable video with AI voiceover.

setup (15 min for ur first video):

  1. go to seller-us.tiktok.com (or ur local TikTok Shop Seller Centre).
  2. sign in with ur seller account.
  3. in the left menu, look for Creator CenterToolsAI Fashion Video Maker.
  4. pick a product from ur catalog. fashion (menswear + womenswear) is supported first.
  5. upload 3–5 product images if u haven't already.
  6. choose a template + voice tone (energetic, calm, luxury, casual).
  7. click Generate. takes 2–4 min.
  8. preview, tweak the script if needed, publish to TikTok Shop.

pro tip: the more product detail in ur listing (fabric, size, fit, occasion), the better the AI script. spend 5 min beefing up ur top 3 product descriptions before u generate ur first video.

ℹ️ only catch: non-fashion products aren't supported yet, but more categories are being added monthly.


4. Google NotebookLM

what it does: drop in ur SOPs, customer feedback, contracts, product docs. NotebookLM builds a private AI assistant that knows ur biz. can even turn ur docs into a podcast or video overview.

setup (10 min):

  1. go to notebooklm.google.com and sign in with any Google account (free Standard tier).
  2. click New notebook.
  3. name it (e.g. "[ur biz] knowledge base").
  4. click Add sources. u can upload:
    • PDFs (contracts, SOPs, training docs)
    • Google Docs
    • Pasted text (FAQ, return policy, brand voice notes)
    • Website URLs
    • Audio files (record meetings, drop them in)
  5. add 5–10 sources to start. NotebookLM works better with focused sources, not 1000 random files.
  6. start asking. try:
    • "what's my refund policy in plain english"
    • "summarize the top 3 complaints from customer feedback this month"
    • "write a training doc for a new staff based on these SOPs"
    • "create a podcast overview of these docs" (yes, it makes a real 2-person podcast)

free tier limits to know:

  • 100 notebooks total
  • 50 sources per notebook
  • 50 chat queries per day
  • 3 audio/video generations per day

that's plenty for almost any small biz.

first prompt to try: upload ur entire biz onboarding (SOPs, brand voice, product info). then ask: "based on these docs, write me a 1-page training guide i can hand to a new staff member."


which one to set up first?

honestly depends on ur biz:

  • u get a lot of DMs → Meta Business Agent
  • u rely on Google search for customers → Gemini × Business Profile
  • u sell on TikTok Shop (fashion) → AI Fashion Video Maker
  • u onboard staff or have a lot of internal docs → NotebookLM

if ur not sure, start with NotebookLM. it's the most slept-on, hardest to misuse, and works for literally any biz.
